Every call gets answered
Call handling: who picks up when you can't?
Call handling (also called call answering) means picking up incoming calls: someone answers the phone, identifies your business, clarifies what the caller needs, and records what happens next. Modern AI phone assistants now handle this completely on their own, around the clock and in natural language.
There are four ways to get your calls answered: you, your own office staff, an external answering service, or an AI. Here's an honest comparison of all four.

Four ways to get your calls answered.
Every missed call is, more likely than not, a job that goes to the next business instead. For what to do about a call you've already missed, see our guide missed calls: what to do now. So it's settled that someone should pick up. The question is who. You have four options, each with its own catch.
-
Option 1: You answer yourself
Costs nothing, except your focus.
As long as call volume is low, this works. But every ring pulls you out of your work, and the moment you're in a meeting, on site, or off the clock, it goes unanswered. Callers who can't reach you rarely try a second time.
-
Option 2: Your own office staff
The most personal option, and the biggest fixed cost.
Someone on your team knows the business and the customers. In exchange, you pay salary plus payroll costs, and call handling still ends when they clock out. Vacation and sick days put the phone right back on your desk.
-
Option 3: An external answering service
People in a call center answer on your behalf.
Traditional office services take calls from a script and send you a note, usually billed per call or per minute. But anything beyond the script quickly turns into: we'll call you back. What a service like this actually delivers is covered in our comparison of an answering service for businesses.
-
Option 4: AI call handling
Software answers, talks like a person, and keeps working.
An AI phone assistant answers every call instantly, handles the common questions itself, captures requests in a structured way, and books appointments. Around the clock, any number of calls at once, for a fixed monthly price. That's exactly what our Steffi is built for.
Call handling compared: yourself, office staff, a service, or AI?
No single option does everything. Office staff knows your business best, an answering service is quick to book, and the AI never sleeps. The table shows where the real differences are. Behind the AI column is a full AI phone assistant.
| Criterion | Answer yourself | Your own office staff | Answering service | AI call handling |
|---|---|---|---|---|
| Availability | Whenever you can pick up | During office hours | Depends on the plan, often with core hours | Around the clock, weekends included |
| Simultaneous calls | One at a time, the rest get a busy signal | One call, the rest wait | Several, depending on load | As many as needed, at once |
| Cost model | Your own time | Salary plus payroll costs | Usually per call or per minute | Fixed monthly amount |
| Knowledge of your business | Complete | Complete, after onboarding | Only what's in the script | Everything you teach it |
| Vacation and sick days | Then no one picks up | You need to arrange cover | Keeps running | Keeps running, no gaps |
What professional call handling costs.
External answering services with human agents usually charge a base fee plus an amount per call answered or per minute; with high call volume, that gets hard to predict. AI call handling in Germany costs between 29 and 99 euros per month at entry level, 139 to 499 euros for businesses with more call volume, and 999 to 2,499 euros for fully managed packages (verified provider prices, as of July 2026). Extra minutes beyond the included volume run about 0.08 to 0.30 euros.
| Pricing tier | Price per month | What's usually included |
|---|---|---|
| Entry-level plans | €29–99 per month | Basic features, usually 50 to 1,000 included minutes |
| Business plans | €139–499 per month | More minutes, more users, calendar and CRM integration |
| Fully managed packages | €999–2,499 per month | Setup, ongoing support, and optimization included |
titanspear.ai works with a predictable fixed price per month instead of billing per call. The amount depends on call volume, scope of tasks, and integration with your calendar or CRM; you'll get the exact price in your free intro call.
Call handling, call answering, answering machine: what's what?
Call handling and call answering mean the same thing: an incoming call is answered and an actual conversation happens. An answering machine, on the other hand, doesn't answer anything, it only records, and many callers hang up as soon as they hear the recording. How an AI solves that case is on our page about the AI answering service. If the call never gets through at all because your line is busy, the problem sits one level earlier. The causes are covered under busy line and a phone that's always busy. And if you think of call handling more as a staffed front desk, with a greeting, information, and appointment booking, take a look at our Virtual Receptionist. For how appointment booking by phone works step by step, whether a human or an AI picks up, see our guide on phone appointment booking. The same role also goes by AI Receptionist: see our AI Receptionist page for a version with a German voice and a GDPR-compliant contract. For what AI call handling looks like at a law firm, where the phone still rings during a client meeting, see our page on AI call handling for law firms. For what's technically happening behind the conversation, see our primer on the voice agent.
If you just want to set up automatic call answering on your mobile phone, that's handled in your phone settings or through your carrier's voicemail. This page is for businesses that want to stop missing calls altogether.
Three steps to AI call handling.
-
You tell us who's calling
Customer inquiries, appointment requests, suppliers, emergencies: one conversation is enough for us to know which calls your AI should handle, and what it's allowed to do with them.
-
We set up your call handling
A greeting with your business name, answers to common questions, appointment booking, and forwarding for anything urgent. You listen to it beforehand and sign off.
-
From then on, someone always answers
Every call gets answered, and every request lands with you as a clean note. You call back when it fits your day, and keep working undisturbed in between.
Frequently asked questions about call handling.
What does call handling mean?
Call handling (also called call answering) means picking up incoming calls: someone answers the phone, identifies the business, clarifies what the caller needs, and records what happens next. That can be the owner, in-house office staff, an external answering service with human agents, or an AI that carries on the conversation on its own.
Who can handle calls when I'm not available?
There are four options: forward calls to a team member or office staff, hire an external answering service where people work from a script, let voicemail take the call, or use AI call handling. The AI answers every call immediately, answers questions, captures requests, and books appointments, including at night and on weekends.
What's the difference between call handling and an answering machine?
An answering machine doesn't answer calls; it only records messages, and many callers hang up as soon as they hear the recording. Call handling means an actual conversation happens: the request gets clarified and recorded. AI can replace both; our page on the AI answering service shows what that looks like for the voicemail case.
What does professional call answering cost?
External answering services with human agents usually charge a base fee plus an amount per call answered or per minute. AI call handling in Germany costs, depending on scope, 29 to 99 euros per month at entry level, 139 to 499 euros for businesses with more call volume, and 999 to 2,499 euros for fully managed packages; extra minutes run about 0.08 to 0.30 euros (verified provider prices, as of July 2026).
Can an AI take over call handling completely?
Yes, for the phone: an AI phone assistant answers every call, greets callers on behalf of the business, answers recurring questions, captures name, request, and callback number, and books appointments. Anything that genuinely needs your judgment lands with you as an organized note, and urgent matters get forwarded right away. Only in-person advice and on-site reception still need a human.
Is automated call handling GDPR-compliant?
Yes, when set up correctly: the provider acts as a data processor, callers are informed transparently, and all data is processed under GDPR. That's exactly how we set up your AI call handling. You'll find the details in our privacy policy.
