How to write a callback request: templates for email, text, and WhatsApp plus a template for the internal callback note, ready to copy.

A callback request is a short message with four details: who wants the callback, what it's about, what number to use, and when it works best. It reads as polite through a request instead of a demand, for example: “Please call me back at [phone number], ideally today between 2 and 4pm.”

The structure

How do you write a callback request?

Name four things: who you are, what it's about, what number you're reachable at, and when the callback works best. The rest is tone: ask instead of demand, one sentence per detail, a thank-you at the end.

  1. Who wants the callback

    Name and company, right at the start. Whoever has to guess who the message is from won't call back — they'll put it on the pile.

  2. What it's about, in one sentence

    “It's about your quote from Tuesday” is enough. The other person can prepare, and the callback turns into a short conversation instead of a guessing game.

  3. The callback number, even if they already have it

    The number belongs in the message, not in the other person's address book. Every second spent searching lowers the odds the callback actually happens.

  4. A time window you can actually keep

    “Best between 2 and 4pm today” is an invitation, “whenever you get a chance” is a postponement. And if you name a window, you have to pick up during it.

Callback request by email: templates with subject lines

Email is the right channel when you can't reach someone by phone, or the callback isn't urgent. The subject line should name the topic, not just “Callback,” or the email gets buried in the inbox. Three short paragraphs are enough: what it's about, what number to use, and by when.

Callback request by text and WhatsApp: short and specific

A text almost always gets read, often faster than any email. That means space is tight: sender, topic, number, time window, done. WhatsApp works the same way, just a touch more relaxed in tone with existing customers.

Callback request for coworkers: the internal note

Most callback requests start on the phone: someone calls, a colleague isn't at their desk, and the note left behind decides whether the callback happens. Six details belong on it, the same ones as a good set of call notes.
